Barclay Public Library District Board of Trustees met Jan. 17.

Here are the minutes provided by the board:

President Jean Munson called the meeting to order at 7:00 p.m.

ROLL CALL: Katherine Brodbeck, Maria Dent, Kay Mason, Pam McMiIllen, Laura Philips, Michelle Sawicki (Director)

There were no remarks from the public.

BILLS

∙ Motion by Katherine, second by Pam to approve payment of the November bills. All aye

∙ Motion by Motion by Maria, second by Katherine to approve payment of the December bills. All aye

TREASURER’S REPORTS: filed for audit, with the amendment of the beginning balance date of the December report. It should read “November 30, 2022” instead of “October 31, 2022.”

SECRETARY’S MINUTES:

∙ Motion by Katherine, second by Maria to approve the minutes of the November meeting. All aye

∙ Motion by Pam, second by Katherine to approve the minutes of Executive Session on November 28, 2022.

LIBRARIAN’S REPORT

∙ Building

o The security camera software was accidentally deleted by our IT person. When Johnson Controls came to fix it, they also readjusted the cameras.

o The post office confirmed we can get mail delivered to the library if we put a mailbox on Main Street. Michelle will look at styles and prices.

o Tom Koehler will not be able to build our reading loft. Michelle will look for a different carpenter or premade lofts.

∙ Community

o The library staff dressed as M&M’s for the village Halloween parade. They passed out candy and participated in the costume contest.

o Michelle formed the 2023 Lions Club Scholarship Committee and held a meeting to discuss modifications to the application. She also met with the high school guidance counselor.

o The library ran the toy drive for the Lions Club again this year, with a special toy/gift drive for the Lourash children.

o The Cookie Walk raised approximately $850.

o Michelle will be teaching a resume class for the local high school CEO program on January 24.

∙ Elections

o The Certification of Ballot has been filed with the county clerk.

o Maria and Brittany will be leaving the board.

∙ Finance

o We have a new credit card with Staley Credit Union.

o We will discuss giving the children’s librarian her own card.

∙ Goals

o Update website

o Update policies

o Get a defibrillator, preferably through a grant

∙ Grants: Decatur Memorial Foundation has been contacted concerning obtaining a defibrillator.

∙ Legalities

o Treasurer’s Receipts and Disbursements has been published and filed with the county clerk.

o The comptroller report has also been filed with the comptroller and county clerk. 

o The auditor was contacted regarding whether or not the population count and number of employees need to be adjusted.

∙ Programs: The gingerbread house contest was a success.

∙ Staff

o All staff has been evaluated.

o Valerie McGlothlin will retire on January 19. Kailee Bryson will start as Clerk II on February 27.

o IMRF was consulted concerning questions about Debbie Craig and T.J. Vanderlaan’s benefits.

o All staff has been trained on sexual harassment training. Pam and Michelle took harassment training.

EXECUTIVE SESSION: none

BUSINESS

∙ The October, November and December financial reports were reviewed.

∙ Motion by Laura, second by Pam to approve the meetings for January, 2023—February, 2024. All aye

∙ Motion by Katherine, second by Laura to approve payment to Johnson Controls to purchase and install a panic button at the circulation desk at a cost of $585. Roll call vote: 6-0 in favor

∙ Motion by Kay, second by Laura to approve providing the children’s librarian with a credit card. Roll call vote: 6-0 in favor

∙ Motion by Maria, second by Laura to approve the updated Disaster Plan. All aye Person of the Month: Joe Brown was chosen for donating a wreath to the library. The meeting was adjourned at 8:10 p.m.

The next meeting will be Tuesday, February 21, 2023 at 7:00 p.m.
