Barclay Public Library District Board of Trustees met July. 21.

Here are the minutes provided by the board:

Meeting called to order at 7:00 p.m. by Jean Munson, President.

Roll Call: Jean Munson, Laura Philips, Gary Horvath, Evelyn Deverell, Karen Edgecombe and Lacey Wright, Director with Katherine Brodbeck and Katie Leonard absent

Remarks for the Public: None

Bills: Lacey is checking into a question on the bills with the accountant regarding the US Treasury check for $4,516.44. This is probably for the withholding tax for the employees. Gary H. made a motion to approve the June bills with a second by Laura P.

Treasurer’s Report: The report will be filed for audit.

Secretary's Minutes: A motion was made by Evelyn D. and second by Gary H. to approve the June minutes as amended.

Director’s Report

Business

· 4th Quarter Financial Report – The report shows that we are in good shape, having underspent on most items. Lacey will be doing research on any possible grants to help with the building addition.

· Tentative Budget & Appropriation Ordinance, FY25-26-2 A motion to approve was made by Laura P. and seconded by Gary H. Roll Call—All ayes. 5-0

· Working Budget for FY25-26 A motion to approve the Working Budget was made by Gary H. with a second by Laura P. All ayes. 5-0

· Engagement Letter from Floyd & Associates, CPAs – Following a discussion, Lacey recommended keeping Floyd & Associates as our accountants for now. A motion was made by Laura P. and seconded by Gary H. to approve the engagement letter from Floyd & Associates, CPAs. Laura P., Gary H., Karen E. and Jean M. ayes, Evelyn D. abstaining. 4 ayes, 1 abstain

· Video Surveillance upgrade, Johnson Controls – Lacey reported that the software needs upgrading as it was installed in 2012. The motion to approve and pay the installation cost upfront was made by Evelyn D. and seconded by Laura P. Roll Call—all ayes 5-0

· Building & Appropriations Hearing – The date for this is Monday, August 25th at 6:45 p.m. prior to the regular meeting.

Building & Equipment

· Property Purchase – The tentative closing date is scheduled for July 30th. Lacey will be working on switching utilities over and getting insurance taken care of for the property.

Community

· Warrensburg Corn Festival - The festival was a success with large crowds at night although the parade had to be cancelled due to rain. Next year will be the 10th year for the festival.

· Donations - The Community Foundation made a $1,000 donation to the library. Staff

· Youth Assistant position – Samantha Weiffenbach has resigned as of August 1st. Lacey feels that there is no need to fill the position at this time.

· Substitute Employee – Brandee Allen has been hired to start on August 11th as an additional substitute library clerk. She has previously worked part-time at the library and has also been a substitute library clerk from 2007-2021.

· Scheduling App – The staff has been using the “When I Work” app since June. It makes scheduling and schedule changes easier to manage. It’s currently being used on a month by month plan at $30 a month. If we decide to keep it, we can switch to a discounted yearly plan.

Programming

· Summer Reading Club – The program is going well with the reward party set for July 31st.

· 80th Anniversary – The library will be doing things during the month of September and on the 27th to celebrate. Announcements will be coming.

· Person of the Month – Brittany Wentworth was recognized for volunteering at the summer reading program.

Gary H. made a motion to adjourn the meeting at 8:43 p.m. with a second by Laura P.
